2. Information We Collect

Account & Profile Information

• Full name, email address, phone number
• Profile photo (uploaded by user or administrator)
• Student/staff ID, date of birth, address
• Role within your organization (admin, teacher, student, parent)

Educational Data

• Attendance records and academic grades
• Exam results, assignments, class schedules
• Fee and payment records
• Communication logs (notifications, announcements)

Camera Permission

We request camera access solely to allow users to take or upload profile photos and document scans. The camera is only activated when you explicitly choose to use it — no photos are captured without your consent.

Device & Usage Data (Automatic)

• Device type, operating system version, unique device identifiers
• App usage patterns, crash reports, performance data
• IP address and general location (city/region) for security purposes

3. How We Use Your Information

• Provide, maintain, and improve our LMS services
• Manage student records, attendance, grades, and fee transactions
• Send SMS and push notifications for fees, attendance, and alerts
• Authenticate users and secure accounts
• Facilitate communication between teachers, students, and administrators

We do not sell your personal information. We may share data with:

• Within your organization: Teachers, admins, and other authorized staff
• Firebase (Google Cloud): Authentication, database, file storage, analytics
• SMS gateway providers: For delivering text notifications only
• Legal authorities: When required by court order or law to protect safety

5. Data Security

• All data is encrypted in transit (TLS 1.2+) and at rest via Firebase
• Role-based access control — users only access data within their organization
• Regular security audits and vulnerability assessments
• Profile photos and files stored in Firebase Storage with secure access rules
• Two-factor authentication available for administrator accounts

6. Data Retention

• Active account data is retained while your account remains active
• Academic records are retained per your institution's policies
• On deletion request, personal data is removed within 30 days
• Financial/transaction records may be retained as required by law
• Backup copies are purged within 90 days of the deletion cycle

7. Children's Privacy

MY LMS serves educational institutions where students may be minors. All minor student accounts are created and managed by authorized school administrators or parents/guardians. We do not knowingly allow minors to directly create accounts. If you believe a minor's data has been collected without proper authorization, contact us at privacy@shera-ai.com for immediate removal.

We comply with the Children's Online Privacy Protection Act (COPPA) and applicable local laws.

Depending on your location, you have the following rights:

9. International Data Transfers

Your data is processed on servers operated by Google Firebase (Google Cloud), which maintains data centers globally. Google complies with EU Standard Contractual Clauses and other international data transfer frameworks. By using MY LMS, you consent to this processing.

10. Cookies & Tracking

The MY LMS web version may use cookies for session authentication and analytics. The mobile app does not use traditional browser cookies. You can disable cookies in your browser settings, though this may affect functionality.

11. Policy Updates

We may update this policy periodically. We will notify you of significant changes via in-app notification and email. The "Last Updated" date at the top reflects the most recent revision. Continued use of the app after changes constitutes acceptance.
